What to look for in a company second brain tool
Judge every tool on the same five criteria before comparing prices.
• Reach. Can it connect to where your knowledge actually is: Drive, SharePoint, email, chat, CRM?
• Permission-awareness. Does each user only get answers from files they could already open?
• Citations. Does every answer link to its source so staff can check it?
• Data terms. Does the business plan exclude your data from model training, and can an admin control which connectors are allowed?
• Adoption. Will your team actually use it where they already work, or is it one more app to open?

Claude (Team and Enterprise): best for cross-tool search and writing quality
Claude's Team plan suits SMEs whose knowledge is spread across Google Workspace, Microsoft 365 and Slack, and who want high-quality drafting from it. Admins can set up enterprise search, a pre-configured "Ask Your Org" project that searches across connected tools. Anthropic states that users only see results from data they can access in the original systems, and that connected data isn't indexed on its side to serve queries.
• Strengths: shared Projects for team knowledge bases; connectors for Google Drive, Gmail, Calendar, Microsoft 365, Slack and GitHub; open MCP support for other tools; strong long-document reasoning.
• Watch-outs: needs a Team or Enterprise plan for company search; it lives in its own app rather than inside your office suite.
• Price: the Team plan is US$20 per standard seat per month billed annually (US$25 monthly), for 2 to 150 members.

ChatGPT Business: best for teams already living in ChatGPT
ChatGPT Business suits teams that already use ChatGPT daily and want it to answer from company apps with citations. Its company knowledge feature pulls context from connected apps such as Google Drive, Slack and GitHub, and cites the original sources. Admins can disable specific connectors.
• Strengths: familiar interface; a wide connector library; custom GPTs for single-team knowledge bases.
• Watch-outs: OpenAI's help page notes company knowledge is available on ChatGPT on the web, not in the desktop or mobile apps, at the time of writing. Check that it covers the way your staff work.

Microsoft 365 Copilot: best for Microsoft-first businesses
If your files live in SharePoint, OneDrive and Teams, Copilot is the most natural second brain, because it works inside the apps your staff already use. It answers across your Microsoft 365 content using each user's existing permissions.
• Strengths: built into Word, Excel, Outlook and Teams; uses your existing Microsoft identity and permissions; admin tools such as SharePoint's Restricted Content Discovery to keep sensitive sites out of results.
• Watch-outs: it shows up oversharing in SharePoint immediately, so plan a permissions clean-up first. It's weaker if much of your knowledge sits outside Microsoft.

Google Gemini and NotebookLM: best for Google Workspace businesses
For Google Workspace businesses, Gemini in Gmail, Docs and Drive plus NotebookLM for curated source sets makes a low-cost second brain. Google now bundles Gemini features into paid Workspace business plans rather than selling them as a separate add-on.
• Strengths: often no extra subscription; Gemini works across Drive and Gmail; NotebookLM answers strictly from the sources you add, with inline citations, which makes it ideal for a curated SOP or policy notebook.
• Watch-outs: features and limits vary by Workspace edition; NotebookLM notebooks are curated collections, not live company-wide search, so someone must keep them updated.
• Price: included in many Workspace business editions; check Google Workspace pricing for your edition.
Notion AI: best when your wiki already lives in Notion
If your SOPs, project notes and wiki are already in Notion, its AI search is the quickest route to a second brain. Notion now bundles its AI features, including workspace Q&A and AI meeting notes, into its Business and Enterprise plans rather than selling a separate add-on for new customers.
• Strengths: your wiki and your AI in one place; meeting notes captured straight into the workspace; Notion's structure encourages the owned, dated documents a second brain needs.
• Watch-outs: less useful if most of your files sit in Drive or SharePoint; some advanced agent features are billed on a separate credit basis.

When a custom build makes sense instead
Go custom only when off-the-shelf tools can't reach your knowledge or can't meet your control requirements. Signs you've reached that point:
• Your key knowledge sits in a line-of-business database, ERP or legacy system with no connector.
• You need your own audit log of every question and answer, for example in regulated professional services.
• You need to control exactly where data is processed, or to combine company knowledge with structured records such as job costs or case files.
• You want the second brain embedded in a customer-facing tool.
A custom build typically uses retrieval over your own document store with your own access rules, and can use any of the major models underneath. • None of the above reaches your data: consider a custom build.
